The short answer: 50+ projects show small businesses waste 20+ hours a week on manual work, and automation is the highest-ROI fix, most workflows pay for themselves in months, not years.

Key findings

1. 73% of businesses still use spreadsheets for core operations. Despite the availability of countless SaaS tools, spreadsheet software remains the most common tool for inventory tracking, project management, financial reporting, and customer management. The average business in our dataset maintained 6-12 active spreadsheets for tasks that could be automated.

2. 40+ hours per month is lost to manual data entry. The average small business in our dataset spends 10+ hours per week on manual data entry, copying information between systems, formatting reports, and updating records. This represents approximately $12,000-$18,000 per year in lost productivity for a typical 5-person team.

3. Email processing consumes 21% of team hours. In client workflow audits, email triage (reading, sorting, and responding) accounted for the single largest block of repetitive administrative time. Automated email workflows reduced this by 60-80% in most cases.

4. Lead response time drops from 24 hours to under 5 minutes with automation.
